Count open actions by urgency
Audit and inspection actions become harder to manage when the team only knows the total number open. Split the backlog by overdue, due this week and due later to understand pressure.
The calculation
backlog pressure score = overdue actions x 3 + due this week x 2 + future actions
Example:
- 8 overdue actions.
- 12 actions due this week.
- 20 future actions.
8 x 3 + 12 x 2 + 20 = 68
Add ownership
A backlog is only useful if each action has an owner. If many actions have no owner or due date, treat that as a separate management issue.
Track close-out evidence
Closed actions should include evidence, not just a status change. Photos, notes, documents or approvals help show that the issue was really resolved.
