Photos need context
Photos are useful evidence, but only when the viewer can understand what they show. A good inspection record connects each image to the location, issue, owner, action and close-out status.
Capture these details
- Project, location and inspection type.
- Date, time and inspector.
- Photo description and what it proves.
- Action owner, priority and due date.
- Before and after photos where close-out is needed.
- Notes showing whether the issue is open, closed or monitored.
Make close-out visible
An inspection photo may show a problem, but the record should also show what happened next. Close-out evidence helps supervisors prove that actions were completed.
Avoid photo folder chaos
Large photo folders become difficult to search. Attach photos to the inspection item or action they support, rather than relying on filenames to explain the story later.
