A good site diary proves the day
A site diary should make it easy to understand what happened on site, who was there, what changed and what evidence supports the record. It should not rely on memory at the end of the week.
Keep the template short enough to use every day, but structured enough to support reporting.
Suggested diary fields
- Project, date, location and supervisor.
- Weather, site conditions and access notes.
- Labour, subcontractors, visitors and key contacts.
- Deliveries, plant, equipment and material issues.
- Progress completed and work areas affected.
- Delays, blockers, instructions and design queries.
- Photos, documents, permits and inspection evidence.
- Actions raised, owners and due dates.
Link notes to evidence
The strongest diary records connect comments to photos, documents, RFIs or actions. That makes the record useful for reporting, dispute avoidance and handover review.
